OVERVIEW

ODM Group is a Promotional Products Marketing Agency founded in 2003 that provides end-to-end solutions from concept to production for global clients. With operations across Asia and our in-house design agency, Mindsparkz, we support product development, ideation, and marketing with a strong creative team.

We are seeking an organized, motivated, and energetic HR Generalist with excellent English communication skills (both written and spoken). The ideal candidate thrives in diverse roles, enjoys interacting across departments and countries, and is passionate about creating a positive workplace culture.


KEY RESPONSIBILITIES

A. Human Resources Management

    Employee Lifecycle Management

    • Oversee end-to-end HR processes: recruitment, onboarding, performance evaluation, engagement, development, and offboarding.
    • Support internal mobility, employee relations, and performance improvement plans.

    Recruitment & Workforce Planning

    • Collaborate with department heads and the BODs on workforce planning, talent acquisition, and performance review initiatives.
    • Manage the recruitment process, ensuring timely and quality hires.
    • Support recruitment activities for the China office, coordinating with relevant stakeholders to fulfill hiring needs effectively.

    HR Operations & Compliance

    • Maintain and update HR records including employee profiles, contracts, job descriptions, and evaluation documents.
    • Generate and present periodic HR reports to the BODs on staffing, headcount, and HR-related issues.
    • Coordinate with tax/accounting vendors for accurate and timely payroll, insurance, and PIT submissions.

     Employee Engagement & Culture

    • Organize and coordinate internal events: monthly birthdays, team gatherings, onboarding/farewell sessions, festive celebrations, etc.
    • Actively contribute to creating an inclusive, positive, and engaging work environment.

    B. Legal Compliance & Documentation

      • Ensure full compliance with Vietnamese labor laws and internal HR policies.
      • Maintain and update legal documents of the Vietnam office: licenses, company seals, registrations, board resolutions, etc.
      • Manage labor contracts and company regulations.
      • Ensure all documents and procedures are audit-ready and compliant with corporate and legal standards.

      C. Office Operations & Vendor Management

        • Oversee daily office operations: facilities, equipment, utilities, and vendor coordination.
        • Manage all office-related contracts with vendors: cleaning, maintenance, IT, and other service providers.
        • Handle payment processing, contract renewals, and performance tracking for vendors.
        • Directly liaise with vendors to address service issues, ensure service level quality, and resolve any discrepancies.
        • Resolve all operational issues in the office such as IT support, equipment failures, and office repairs.
        • Ensure uninterrupted day-to-day office functionality and smooth coordination with internal departments.

        D. Financial Operations & Budget Control

          • Supervise HR and office budgets; monitor actual vs. planned costs and provide monthly reporting to the BODs.
          • Manage office operational cash flow and ensure compliance with tax and financial regulations.
          • Review and verify financial documentation related to office operations and vendor payments.

          QUALIFICATIONS

          • Bachelor’s degree in Human Resources, Business Administration, Law, or a related field.
          • At least 5-8 years of experience in HR operations and office management, ideally in a multinational setting.
          • Strong knowledge of Vietnamese labor law, office compliance, contract management, and vendor coordination.
          • Proven experience in agency, marketing, advertising, or B2B client-facing environments is highly preferred.
          • Fluent Business English and Vietnamese, both written and verbal (IELTS 7.0+)
          • Proficient in HR reporting, budgeting, and internal communication.
